Choosing a way to capture what your workforce knows.

There are now several ways to get knowledge out of people's heads and into your systems. They are built for different jobs. This page lays them out honestly, including where Tadeus is not the right fit.

For the argument behind this page, read Company brains can't index what nobody said. For a method-by-method view with no vendors named, see how organisations listen to their workforce.

Four approaches, four different jobs.

Surveys and engagement tools

Best for
Measuring opinion across large groups on a fixed schedule
Where it falls short
Low response from frontline workers, no follow-up questions, captures opinion rather than knowledge

Consulting interviews and workshops

Best for
Deep, bespoke diagnosis of a specific problem
Where it falls short
Slow, expensive, samples a few people, knowledge goes stale when the engagement ends

AI interview platforms for operations mapping (for example Ontora)

Best for
Leadership teams wanting process maps and an automation roadmap across office based teams
Where it falls short
Built around a diagnostic deliverable rather than embedding capture into your own systems and agents

Voice capture layer (Tadeus)

Best for
Reaching deskless and multilingual workforces at moments of change, with structured records returned to your systems and agents
Where it falls short
Not a finished consulting deliverable: you get structured data and insights, not a transformation roadmap

Before you buy

Questions to ask any vendor.

Does it work for people who are not at a desk, on a basic phone, in their first language?

Ask for a live test on a mid-range phone in a second language before anything else. Most of the workforce is deskless, and a tool that needs a laptop, a login or fluent English will sample the office and miss the floor. Tadeus runs as a short voice call on the phone already in the worker's pocket, in their own language.

Is it voice, text, or both? How natural is the conversation?

Text works at a desk and fails in a van or on a ward. If it is voice, ask about latency and turn-taking: a slow or scripted agent gets one-word answers. Tadeus is real-time voice with adaptive follow-up questions, so it reads as a conversation rather than a form read aloud.

What do you get back: a transcript, or structured data you can act on?

A transcript is a byproduct. Ask what the tool extracts and whether you can define the fields. Every Tadeus conversation returns a transcript, a structured summary, the data points you asked for as JSON, and confidence, relevance and engagement scores.

Can your own AI agents commission interviews and query results?

If the answer lives in a dashboard, your agents cannot use it. Tadeus has an MCP server: an agent can create a campaign, invite participants, search transcripts and pull insights into its next step.

Is audio retained? Does it infer emotion? How does it sit against the EU AI Act?

Emotion inference in the workplace is prohibited under the EU AI Act, and retained audio is a data protection question procurement will raise. Ask for both answers in writing. Tadeus works from the transcript and reads comprehension, not emotion; see the trust pages for how it classifies itself.

Can it be embedded in the HR or workforce platforms you already use?

A separate destination is one more login the workforce will not adopt. Ask whether the tool is API-first and whether results can land in your system of record. Tadeus is built to embed in HCM, payroll, scheduling and compliance platforms, with the API and MCP as the delivery surface.

How is it priced: per seat, per project, or per conversation?

Per-seat pricing punishes reaching the whole workforce and per-project pricing punishes running capture at every moment of change. Tadeus is usage-based, priced on conversation minutes, with plans published on the pricing page.
